Professionals: How to receive payment from your Clients for a Session

This article explains how to charge your clients for sessions.

To charge for a session, you can use different payment methods.

1. Your own billing system (Online or Offline) if you have your own solution to charge customers.

2. Using Kara Pay (Card) - For more information, please see here.

3. Cash or Bank Transfers or Other.

For any payment methods such as "POS, Other, Cash, or Bank Transfer", you need to enable individual payment methods using the Integration type "Other Payment Methods". For more information, click here.

4. Using Wellbeing Hubs Sponsored Credits: If your client is coming from our Wellbeing Hubs programme, and has sponsored credits you can process the payments and invoice Kara Connect. For more information about this scenario click here.

 

After completing a session

After completing a session, you have the option to choose the following payment methods: Other, POS or Credit Card.

Please note that if you choose Credit Card (to take the payment through Kara Pay), the client needs to also have their credit card set up in their client account - they will be obligated to this if you this set as one of your Client Registration Requirements (please see here).

 

 

Payments tab in your Kara Connect account

Within your Kara Connect Portal, go to Payments and click "Unpaid".

1. Click on the 3 dots beside your customer's name.

2. Click Edit payment.

3. Select the Payment Method (Please note that if you select Credit Card as a payment option, you need to have Kara Pay set up before taking payments using our Integration).

4. Click Confirm (When your customer has paid you).

5. This will now show under the Paid Transactions.

These payments will only show when a session is booked with one of your clients.

 

When can you expect to receive your payments collected via Kara Pay?

The system is set up to transfer your payments collected via Kara Pay to the bank account you set up during the activation process on a 7 "working days" rolling basis. During the weekly schedule, any payments collected via Kara Pay from your clients, on a weekly basis, between Wednesday to Tuesday, are processed and transferred to your active bank account on the following week cut-off day (Tuesday).


Payment schedule: 
Weekly, every Tuesday on a 7 day rolling basis.

For example: If you had any sessions with your clients from Tuesday 20th June to 27th June and you charged your client using Kara Pay:

Since those sessions where charged after the previous "cut-off date" 20th June; your total funds from those sessions, are transferred on Tuesday 4th July, which is set on the "Weekly Tuesday 7 day rolling schedule" of 28th June to 4th July.
